2. Information We Collect
We collect information that you provide directly to us, information collected automatically when you use our website, and information from third parties such as our registration and payment platforms.
Information you provide directly includes athlete and parent/guardian names, dates of birth, gender, mailing addresses, email addresses, phone numbers, emergency contact information, school name, grade or graduation year, height, jersey size, prior playing experience, position, and similar information needed for placement, communication, and team logistics. When you register or pay, we (and our payment processor) collect billing information; we do not store full credit card numbers on our own servers. We also collect health and medical information you choose to share — such as allergies, medical conditions, medications, and authorization for emergency treatment — when relevant to participation. If you fill out a contact form, sign up for our newsletter, apply for a coaching or staff position, or submit a tryout or program form, we collect the information you provide there.
Information collected automatically when you use our website includes your IP address, browser type and version, device information, operating system, referring and exit pages, pages viewed, links clicked, time and date of visits, and similar usage data. We collect this information through cookies, pixels, log files, and similar technologies. See Section 7 below for details on cookies.
Information from third parties includes information we receive from our website host and registration platform (SportsEngine, LLC, which powers urbanvolleyballac.com), our team management portal (GoMotion), our payment processor, our analytics providers, and from coaches, referees, league officials, and partner organizations as part of running our programs.
3. How We Use Your Information
We use the information we collect to:
- Register athletes and process program, clinic, camp, league, and event participation
- Communicate with athletes, parents, and guardians about schedules, practices, tryouts, games, tournaments, cancellations, and program updates
- Process payments, refunds, and account balances
- Place athletes on appropriate teams and into appropriate skill or age groupings
- Provide medical and emergency support during practices, games, camps, and travel
- Maintain rosters, statistics, and historical records
- Operate, secure, and improve our website and member portals
- Send newsletters, news posts, promotional offers, and program announcements (you can opt out at any time)
- Comply with legal obligations, enforce our terms, and protect the rights, safety, and property of UVAC, our members, and the public
4. How We Share Your Information
We do not sell your personal information. We share information only as needed to operate our programs and as described below.
We share information with service providers who help us run our website, registration portal, communications, payments, scheduling, analytics, and similar operations — including SportsEngine, LLC; GoMotion; our payment processor; Google (analytics and tag management); email and messaging providers; and similar vendors. These providers are permitted to use your information only to perform services for us.
We share information with leagues, tournaments, governing bodies, referees, opposing teams, host facilities, and partner organizations as required to register athletes for events, submit rosters, schedule games, and run tournaments and leagues. This may include athlete names, ages, jersey numbers, schools, photographs, and similar roster information.
We share information with coaches, team managers, and other authorized volunteers and staff so they can communicate with families, supervise practices and travel, and respond to medical situations.
We may share information when required by law, in response to valid legal process, or to protect the safety, rights, or property of UVAC, our members, or the public. We may share information in connection with a business transaction such as a merger, acquisition, reorganization, or sale of assets. We share aggregated or de-identified information that cannot reasonably be used to identify you.
5. Children's Privacy and COPPA
Many of our programs serve children under 13, including our Spike Squad (ages 6–9), youth clinics, and 12U/14U club teams. We comply with the Children's Online Privacy Protection Act (COPPA).
We do not knowingly collect personal information directly from children under 13 through our website without parental consent. Information about children under 13 is collected from a parent or legal guardian during registration. Parents and guardians may review the personal information we have collected about their child, request that we correct or delete it, and refuse to allow further collection or use of their child's information by contacting us at info@urbanvolleyballac.com or (669) 306-5981.
We collect from children only the information reasonably necessary for them to participate safely in our programs, and we do not condition participation in any activity on the disclosure of more personal information than is reasonably necessary.
6. Photos, Video, and Media
UVAC and its photographers, coaches, and staff routinely take photographs and video at practices, tryouts, clinics, camps, games, tournaments, and other events. These images may be used in team rosters, social media posts (including Instagram), our website, news posts, promotional materials, sponsor recognition, and similar UVAC communications.
By participating in our programs, you and (where applicable) your child may appear in these photos and videos. If you do not want a participant's image used in promotional materials, please notify us in writing at info@urbanvolleyballac.com. We will make reasonable efforts to honor opt-out requests for future use; we cannot recall images that have already been published or shared.
Parents and athletes are encouraged to be thoughtful about photos and video they post of teammates on personal social media, and to respect the privacy preferences of other families.
7. Cookies and Online Tracking
Our website uses cookies and similar technologies — including Google Tag Manager and Google Analytics — to remember preferences, keep you signed in, measure traffic, understand how visitors use the site, and improve performance.
You can control cookies through your browser settings, including blocking or deleting them. Disabling cookies may limit some features of the site. We currently do not respond to "Do Not Track" browser signals; we treat all visitors the same regardless of those signals.
8. Third-Party Websites and Services
Our website links to and embeds services operated by third parties, including SportsEngine (registration and site hosting), GoMotion (member portal at gomotionapp.com), Google (analytics and tag manager), Instagram, payment processors, and other partners. Their use of your information is governed by their own privacy policies, not this one. We encourage you to review their policies before providing information.
When you register, pay, or sign in through one of these platforms, you are also subject to that platform's terms and privacy policy.
9. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. Our website and registration platform are protected with encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If you believe your account or information has been compromised, please contact us immediately at info@urbanvolleyballac.com.
10. Data Retention
We keep personal information for as long as needed to operate our programs, maintain rosters and historical records, comply with legal and tax obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete it or de-identify it.
11. Your Choices
You have several choices regarding your information:
- Update your account. You can review and update your account information at any time through our member portal or by contacting us.
- Email preferences. You can unsubscribe from marketing emails using the "unsubscribe" link in any message. You will continue to receive operational messages — such as schedule changes, registration confirmations, and safety alerts — even if you opt out of marketing.
- Cookies. You can manage cookies in your browser settings.
- Photo opt-out. Contact us in writing if you do not want a participant's image used in promotional materials.
- Parent/guardian access. Parents and guardians of children under 13 may request to review, correct, or delete their child's information at any time.

- The right to know the categories and specific pieces of personal information we have collected about you, the categories of sources, the business purposes for collecting it, and the categories of third parties with whom we share it
- The right to delete personal information we have collected from you, subject to legal exceptions
- The right to correct inaccurate personal information
- The right to opt out of the sale or sharing of personal information. We do not sell your personal information and we do not share it for cross-context behavioral advertising

- The right to non-discrimination for exercising your privacy rights
To exercise these rights, contact us at info@urbanvolleyballac.com or (669) 306-5981. 13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last Updated" date at the top of this page and, where appropriate, provide additional notice (such as a website banner or email).
